1. From the main navigation dashboard, select More → Document Templates.
2. Select Add Template.
3. Give your Template a Name.
4. Select the Target Audience - defining who needs to sign this document (Client, Candidate, or Third Party). If the document will be signed by both a Client & Candidate, you can review the 'how-to' here.
5. Define whether this Document applies to only specific Categories of User (where applicable) and when ready, select Next: Document Body
6. Determine if your document is best created as a Text Editor or Image Based (learn more about image based document creation here).
Text Editor is great for most documents. You can paste your existing content and add fillable fields with full formatting control.
Image-Based is best for complex PDF/Word documents where you need to preserve the exact layout and formatting.
7. Copy and paste your content into the body of the document. To use Automatic Substitutions, which will allow your template to automatically pull information from a client or candidate profile, simply click on the field to copy and click into the body of the document and "paste" using your computer quick keys (ctrl-v or right click on your mouse & paste).
8. Create your own Fillable fields by click on the left hand menu under Field management - "Create Fillable Field"
9. In the pop-up - complete the following:
In red, select the Field Type. Example: text box, checkbox, date picker, payment information, etc.
In blue, select how you will identify the field.
In green, add placeholder text to show your user an example of how they might share the information.
In yellow, select if this is required.
In orange, select if this field is for an Admin to complete.
In red, select which type is to fill in the information.
Click Add to save your work
10. Notice a new field opened labeled Insert Fillable Field click this to open a pop-up where you can select from all of the fillable fields you've created. You can also Insert Field from User Profile here as well (in the popup, select the user Type and the Field you'd like to insert).
Alternatively you can click onto the box of the fillable field you've just created (just like the Automatic Substitutions) and paste into your document body.
11. When your done creating your document, click Next: Signatures
12. Here you'll define the Signer of the document and can select wither the signature is typed or if you'd like to offer a drawable signature pad.
Give the Signer a label or name, i.e. Client or Candidate and click Add to save.
13. Click Next: Advanced Settings to finalize the additional details
14. In this screen you can click to expand each menu, adjust the settings as preferred, and click Create to finalize the document creation.
In the Advanced Settings you can determine:
Emails to be notified once the document is signed.
Select which admins are allowed to view the signed documents.
Select the status a client/candidate will be moved to once they have signed document.
Select the status a client/candidate will be moved into once they have signed the document.
Select the order the document will appear when added to a client's or candidate's profile.
Select if the agency logo will be shown at the top of the document or not.
Select to allow users to edit the document before signing.
Note:
Signed documents cannot be edited after signing. To make an adjustment, you must send a new document with the edits.
1. From Document templates, adjust a selected a Template by selecting the Pencil Icon.
2. To preview the Template, select the Eye Icon.
Go into a Document Template.
Create a new document.
If you have created a test profile with your own email address, you can see how the email will be received through your own email.
